What's New on Embodia: October 2026

Fewer Detours in Your Day

This month's updates look small on paper, but each one removes a detour from your day.

You can now update a patient's details (patient properties) without leaving their chart, countersign a consent form as soon as it's completed, and decide whether your branding appears on every page a printed document.

If your clinic is in Manitoba, Alberta, or British Columbia, there's one thing to do before November 1st: run the new time zone migration assistant so your schedule doesn't shift by an hour. We walk you through it below.

We've also added new patients education on men's pelvic health, just ahead of Movember. And registration is now open for My Year of Mentorship 2027.

New this month:

  1. Edit patient properties directly from the chart

  2. Countersign completed questionnaires

  3. Alberta HIA: your Information Management Agreement and PIA support

  4. Other Quick Updates on Embodia
    1. Choose where your branding appears on printed documents
    2. A new time zone for west coast Canada

  5. New in the exercise library: Ball Release (Self-Myofascial Release)

  6. New in patient education: men's pelvic health and anorectal balloon training

  7. Clinic Academy: turn your clinical expertise into online courses (with a new video tour)

  8. My Year of Mentorship 2027: registration now open

Edit Patient Properties from the Chart

Patient properties hold the details that rarely change but come up often: date of birth, phone numbers, the referring physician, emergency contacts, and referral source.

Until now, updating one meant leaving the chart of the patient's Summary tab. Now you can do it without losing your place.

How it works

  1. In the patient's chart, select the Edit icon next to Patient properties.
  2. Update any of the properties shown, then select Submit.

Only properties set to show in the patient chart appear here. You'll still find the rest on the patient's Summary tab.

Editing patient properties in chart notes

Each property can be shown to practitioners only, or to patients as well when the chart entry is shared with them. Practitioner-only properties carry a Private badge, so it's easy to tell at a glance what your patient will see.

πŸ”’ Requires an active Tier 3: Practice Management membership. Setting up patient properties requires Manager permission; practitioners and clinic admins can fill in and edit them.

Countersign Completed Questionnaires

Some forms aren't finished until you've signed them too, consent forms especially. You can now add your signature to a completed questionnaire without leaving Embodia.

Choose how signing works

When you create or edit a questionnaire, choose a Practitioner signature behaviour:

  • No practitioner signature is needed
  • Allow practitioners to manually sign a completed questionnaire: adds an Add my signature button to the completed form
  • Automatically sign a questionnaire when it is completed: your signature is added the moment the patient submits

Before you start

TIP: Pair this with last month's questionnaire locking, so patients can't change their answers after you've signed.

πŸ”’ Requires an active Tier 3: Practice Management membership. The questionnaire must be added under your clinic account.

Practicing in Alberta? Here's What You Need From Us

We're aware of the legislative changes to Alberta's Health Information Act (HIA), and we have the documentation you need from us ready to go.

  • Information Management Agreement: Embodia's IMA, ready for you to review and complete.
  • Privacy & Security Information: a summary of how Embodia handles and protects your data, which you're welcome to fold directly into your PIA.

A quick note on your Privacy Impact Assessment

Under section 64 of the HIA, each custodian, you in this case, prepares their own PIA and submits it directly to Alberta's Office of the Information and Privacy Commissioner (OIPC). It's not something Embodia, or any EMR vendor, can complete or hold on your behalf.

Your PIA covers your own administrative practices, and you remain accountable for it even if you bring in a consultant to help draft it. What we can do is cover the pieces that relate to us.

To request your documents, email support@embodiaapp.com.
If you'd rather talk it through, book a time with our team β†’

Other Quick Updates on Embodia

Choose where your branding appears on printed documents

You can now choose whether your branding appears only on the first page of a printed document, or on every page.

Clinic managers will find it under Settings > Charting settings > General Settings

A new time zone for west coast Canada

This month we added new time zones for Manitoba, Alberta and British Columbia, since all three provinces will stay on the same time all year.

If your clinic is affected, you'll see a notice in your settings. The migration assistant walks clinic managers through the switch step by step, and keeps your upcoming appointments at the same time of day.

New in the Exercise Library: Ball Release (Self-Myofascial Release)

As part of our expanding video exercise library, we've added a series of self-myofascial release techniques using a massage ball.

New additions include:

  • Ball Release Glute Medius on Wall
  • Ball Release TFL on Wall
  • Ball Release Rhomboid on Wall with Cross Adduction
  • Ball Release Posterior Shoulder Capsule
  • Ball Release with Sleeper Stretch
  • And more

These ball release techniques are an easy way to give patients a self-management tool they can use at home, with clear video demos so they can get the movement right.

New and Featured in Patient Education: Men's Pelvic Health

Movember is almost here, so we've gathered our men's pelvic health resources in one place, including new handouts on recovery after prostate surgery and anorectal balloon training.

After prostate surgery:

  • Urinary Incontinence After Prostate Surgery
  • Erectile Dysfunction After Prostate Surgery
  • Dry Orgasm After Prostate Surgery: What It Is and What to Expect
  • Psychosocial Adjustment After Prostate Surgery

Sexual health:

  • What is Hard/Flaccid Syndrome?
  • Premature Ejaculation FAQs
  • How to Use a Penis Vacuum Pump
  • Exploring Your Genitals (Pelvic Health Solutions)

Anorectal balloon training:

Anorectal balloon training is a hands-on treatment that helps bowel and pelvic floor muscles work better together.  A small, soft balloon is inserted in the rectum (the last part of the bowel) and slowly fills with air. As the balloon stretches the rectum, it creates a feeling similar to stool arriving. This lets patients practise noticing that feeling and responding with the right muscles, without waiting for a real bowel movement. Over time, this can help with sudden urges that are hard to hold, difficulty emptying, or leaking stool.

Two new education have been added to help explain this process to patients:

  • Rectal Balloon Training: What to Expect
  • Anorectal Balloon Catheter Training by Carolyn Vandyken

Clinic Academy: Take Your Teaching Beyond the Treatment Room

Every program you build is shaped around the patient in front of you. But some of your teaching comes up again and again: how the pelvic floor works, the early stages of a return-to-running plan, and what to expect with pain, sleep, and load.

Clinic Academy gives your clinic its own branded online academy, where you can create, host, and sell courses and memberships for your patients and your community. Patients can even start your preset exercise programs on their own, with home exercise tracking built in.

My Year of Mentorship 2027: Registration is Open

Pelvic health can be a lot to hold on your own. Assessment and treatment happen in a private room, so feedback from colleagues is hard to come by.

My Year of Mentorship 2027 breaks pelvic health into practical, digestible pieces, led by Carolyn Vandyken alongside an international group of clinical and academic leaders.

  • Live sessions on the 2nd and 4th Thursday of each month, January 14 to December 16, 2027, from 7 to 9 PM ET (off in July and August)
  • Every session recorded and available for the rest of the program year
  • Two live office hours each month, a learning partner, and a forum that stays open after the year ends

Topics include trauma-informed care, the new 3PSQ for distress screening, endometriosis, gut health, and pessaries, plus two (M)ovember sessions with Shan Morrison on post-prostatectomy incontinence.

The cohort is capped at 75 practitioners. Learn more and register β†’
